Hours – Full-time

Salary – £8 – £10 per hour

ABS Property Ltd is an Estate & Letting Agency based in Oldham, established in 2013, managing over 120 To Let properties and over 40 For Sale properties.  Most of our properties are in Oldham, Rochdale, Ashton and we aim to expand and increase our portfolio by end of 2017. ABS Properties Ltd aims to provide quality services to landlords and provide the highest standard of homes for tenants and work with two distinct clients:

1) Landlords are our investors who place their trust in us by giving ABS Properties Ltd their asset(s) to manage which, in turn, reinforces our duties to take good care of their investment. We do this by letting their assets to the most appropriate tenants through numerous procedures. It is our responsibility to inspect and ensure that the properties are maintained in good condition, and ensure that rents are paid on time on a regular basis.

2) Tenants have the right to a safe, secure and quality home to meet their living needs. Their concerns are our concerns and we ensure that they are fully up to date with all payment procedures, local authority bin systems and neighbourhood notices so that they also may enjoy peace of mind with ABS Properties Ltd.

We currently have an excellent opportunity for an enthusiastic and motivated individual as our Office Manager to join and support our small team based in Oldham. The role would suit an individual that has experience in handling property data, both lettings and sales and to support over 120 landlords and tenants in the ABS community.

As Office Manager you will take responsibility for a range of office management tasks and provide support for our Lettings Manager, Director, Account Manager and Marketing Officer.

Key Requirements


  • Excellent communication skills (written and verbal): confident in speaking with and liaising professionally with both tenants, landlords and on a corporate level.
  • Experience of working in a busy office environment.
  • Proficient use of Microsoft Office, specifically Outlook and Excel, uploading data on websites and ‘Rightmove’ etc.
  • Excellent time management skills: able to manage own workload but with the capabilities to take on ad-hoc requirements from the team, multitasking and working to tight deadlines.
  • Excellent organisational and management skills.
  • Proven track record of generating new business
  • Pro-active eye for detail and problem solver, can take ownership over their work and responsibilities.
  • Able to arrange appointments for suppliers, landlords and tenants.
  • Experience in tracking outstanding payments and communicating payment plans.
  • Able to encourage and engage with tenants and reduce, as much as possible, the possibility of arrears situations.
  • Experience in managing emergency situations and organising solutions
  • Good knowledge and understanding of letting and sales in properties.
  • Able to understand the issues and frustrations tenants may face.
  • An understanding of landlords demands and requirements.
  • Able to update and use database.
  • Able to work some early mornings/later evenings to cover seminars. There may also be some UK travel and a few overnight stays required.
  • A general interest in the business is required.

  • Managing and organising the office including filing systems, reporting systems and checking emails
  • Responding to queries from landlords and tenants
  • Updating social media and updating the website
  • Clean UK driving licence and own transport required.

Job Description

  • Ensure all tenants, landlords and potential customers are greeted in a friendly, positive and enthusiastic manner in order to build a rapport.
  • Ascertain applicant’s needs by paying careful attention to details provided.
  • Qualify applicants and match them to suitable accommodation and arrange viewings at the earliest convenience.
  • Ensure all viewings are immediately followed up and the vendor is promptly advised of the details.
  • Ensure that when an offer is accepted that all administrative duties are attended to and that the sale / tenancy agreement is actively progressed through to a satisfactory conclusion.
  • To assist with the management of the Company’s property portfolio and to provide advice and support to the different divisions of the business with key business data
  • To assist with facilities management compliance across the division
  • To drive performance, improvement and excellent standards in all areas of property work
  • Ensuring appropriate processes and procedures are followed and compliance is achieved across the portfolio.
  • Providing accurate information to internal divisions for budgeting and finance purposes
  • Effectively dealing with competing demands and managing own workload and that of the Property Administrator
  • Promoting co-operation and commitment within the team to achieve goals and deliverables
  • Creating a climate of customer focus within the team
  • Consistently aiming to improve performance.


  • Proven experience of managing a dedicated portfolio of sites

Qualification in Property Management desirable(or Property surveying qualification) by recognised body preferred.
