Job Description

Location – Oldham

Hours – 16 to 20 hours

Salary – £14967 – £17159 pro rata

The Finance Assistant will be responsible for a number of financial and admin related tasks including processing transactions, maintaining records, answering phone calls, issuing petty cash and other duties.

Key Responsibilities

  • To accurately update the order matrix system on a daily basis and provide the wider team with order numbers.
  • To support colleagues in setting up new suppliers and ensure that the Trust’s procurement processes are adhered to.
  • To regularly communicate processes regarding purchases to staff and ensure purchase orders are correctly completed on a timely basis.
  • To input purchase invoices received from suppliers onto the financial system in a timely and efficient manner taking into account the coding system.
  • To reconcile supplier statements and deal with all queries related to suppliers.
  • To ensure that the petty cash is replenished as needed and to issue cash as required.
  • To undertake any other tasks to facilitate the smooth running of the Trust’s finance function.

Cash flow / Accounts Receivable

  • To provide a weekly debtors report to Senior Managers and chase up overdue invoices regularly.
  • To supporting the procurement processes by ensuring there is compliance with goods and services purchased.
  • To provide cover for the Sales ledger function when required.


  • To be the first point of contact for external phone calls and to deal with visitors as and when required.
  • To promote skills-based programmes to the general public / logging customer information on our CRM database.
  • To manage and update the room bookings diary for internal and external customers.
  • To sort all incoming post and ensure Trust mail is posted in a timely manner.
  • To order office supplies such as paper when needed.

General Requirements

  • Adhere to all Trust policies and procedures, including compliance with the Trust Dress Code, undertaking responsibilities outlined in the policies at a level appropriate to the role.
  • Comply with and help develop Groundwork’s Minimum Standards and Safeguarding procedures. Groundwork is committed to safeguarding the well-being of all children, young people and vulnerable adults.
  • Ensure activities are carried out in compliance with all statutory Health & Safety requirements, the Trust’s Health & Safety policy and that of our key stakeholders.

Person Specification

  • Good standard of educational attainment or proven ability to work to that level, particularly in regard to numeracy
  • Previous administrative experience
  • Well-developed communication and excellent organisational skills.
  • Ability to work to tight deadlines with conflicting demands often to deadlines set by others.
  • Actively ensuring processes for purchases are followed.
  • Good knowledge of computer systems and Microsoft Office packages particularly excel and word.
  • Able to work as a Team player and also use own initiative to deal with supplier and other customer queries.
  • Integrity, honesty & the ability to handle confidential information appropriately.
  • Commitment to the aims, objectives, mission and vision of Groundwork.
